Ricoh Copiers in New Jersey: Lease Terms, Service Costs and What to Check Before You Renew
Drums and developers are separate consumables from toner, and the Smart Integration subscription runs its own term beside the lease.
Where the money actually goes on a Ricoh
A color Ricoh A3 is built around separate consumables rather than an all-in-one cartridge. Toner, the drum unit, the development unit, the intermediate transfer belt, the fuser and the waste toner bottle are each ordered as their own item, and the drum and development units are per color — so a single color machine carries roughly a dozen individually tracked wear parts rather than one all-in-one cartridge per color. Ricoh manufactures its own PxP polymerised toner for these devices, a polyester-based toner engineered to fuse at a lower temperature. Devices enrolled in RICOH @Remote report their own meters, and Ricoh describes automatic toner ordering as part of the same service — though Ricoh USA’s own material describes low-supply notification rather than ordering, so ask the dealer which of the two is actually switched on. The question on a Ricoh service agreement is rarely just whether toner is included: it is which of those separate units the click covers, and which get invoiced when they wear.
What to check on a Ricoh agreement
RICOH Smart Integration, the subscription that carries the scan-to-cloud connectors and workflow apps, is a separate agreement from both the lease and the service contract. Ricoh’s North America terms set a minimum twelve-month initial term that is non-cancellable, not assignable without Ricoh’s written consent, and cannot be reduced mid-term, with pricing fixed only for that initial term — so it runs on its own clock rather than in step with a sixty-month lease. Separately, RICOH Always Current Technology delivers firmware and feature updates as a standard feature rather than a paid refresh, but paid apps from the RICOH Application Site are their own line item, so ask which capabilities in a demonstration were standard features and which were subscriptions.
What this line suits
A buyer who expects the device to still be gaining features in year four, and who will actually use the scan workflows the Smart Integration subscription is billed for separately. Always Current versions are published per model, so it is possible to check which feature version a quoted device will ship on before signing rather than after.

Worth knowing about Ricoh right now
Ricoh’s MFP development and manufacturing moved into ETRIA, a joint venture with Toshiba Tec that began operating July 1, 2024; OKI joined on October 1, 2025, leaving Ricoh with roughly 81 percent. Existing product lines continued through the transition. Separately, Ricoh consolidated the Savin and Lanier brands into Ricoh in 2023 — a device badged Savin or Lanier is Ricoh hardware, and the name on the panel is not the company behind it.
Send me the agreement and I’ll tell you which of this actually applies to your machine and what the numbers should be. That’s free, and it doesn’t depend on whether you end up buying anything from me.
